Company & Tour Group Information

We look forward to welcoming you to the 2023 MDRT Annual Meeting in Nashville, Tennessee, USA. If you are traveling to the MDRT Annual Meeting as a company or tour group, the following information is provided to ensure that your MDRT Annual Meeting experience is meaningful, enjoyable and stress-free.

MDRT Annual Meeting Registration

The MDRT Annual Meeting is open to 2023 MDRT members only. To attend the MDRT Annual Meeting events, sessions and activities, all members must register and pay the applicable registration fee.
Upon arrival, registered members will receive an official MDRT Annual Meeting badge. Your official MDRT Annual Meeting badge must be worn at all times. It will enable you to access all events, sessions and activities without interruption.
Sharing or swapping your official MDRT Annual Meeting badge with another individual is strictly prohibited. Members found sharing or swapping their official MDRT Annual Meeting badge will have their badge confiscated, and they will be expelled from the MDRT Annual Meeting. The individual and the incident will also be reported to the MDRT Bylaws and Ethics Committee for further action, possibly resulting in revocation of membership.

We encourage you to maximize your MDRT Annual Meeting experience by staying at an official MDRT hotel. Make your housing reservation at the same time you register for the MDRT Annual Meeting to ensure you receive the special MDRT rate (based on availability).

Group Hotel Reservations

MDRT recognizes that some members travel to the MDRT Annual Meeting in groups and require multiple guest rooms. To request multiple guest rooms at an official MDRT hotel, contact the hotel directly. All contracting for multiple guest rooms will be handled between the group and the hotel. Special MDRT rates are not guaranteed.

Transportation

The safety and security of MDRT Annual Meeting attendees is a top priority. Therefore, access to the Music City Center is limited to official MDRT Annual Meeting busses and vehicles with approved access.
If you are organizing transportation for your company or group, please be advised that motor coaches and busses will not be allowed to drop off or pick up passengers at the Music City Center without a permit. Also, parking a commercial vehicle at the Music City Center is prohibited.
To request a permit, please and submit to the email address provided on the form.
Motor coaches and busses will not be allowed to drop off or pick up at the Music City Center without a permit. There is no charge for this permit. However, all requests for boarding space are on a first-come, first-served basis. This permit request form must be completed for your group to be assigned a time slot, boarding location, and vehicle permit. All permit request forms must be submitted by May 2, 2023.

Outside Food and Beverage Prohibited

Food and beverage items brought in from outside the Music City Center (MCC) or official MDRT hotels are strictly prohibited, per their policy. No one, including companies and tour groups, is allowed to bring outside food and beverage items into the MCC or official MDRT hotels. There are many dining options located within the MCC, hotels and surrounding area.

Unattended Personal Items and Luggage

For the safety of all attendees, security will confiscate and remove any personal items left unattended. Luggage will not be allowed inside MDRT session rooms or meeting space. There is no luggage storage facility inside the Music City Center. Attendees should store their luggage in their hotel rooms or with the hotel bell stand, if necessary, on the day of departure.
